How the Arebbusch Tech Stack Powers Better Guest Experiences

A behind-the-scenes look at the technology powering Arebbusch

As someone passionate about hospitality technology, revenue management and direct booking strategy, I’m often asked how the various systems at Arebbusch Travel Lodge work together. This article takes a behind-the-scenes look at the technology ecosystem that powers our operations, distribution, guest communications, loyalty programme and direct booking strategy.

Connected Technology. Better Experiences. Smarter Decisions

Most guests see only the final result: a smooth booking process, competitive rates, personalised communication, and a seamless stay experience.

Behind the scenes, however, a sophisticated network of hospitality technology platforms is working together around the clock. Each system has a specific purpose, but the real power comes from how these systems connect and share information.

At Arebbusch Travel Lodge, we have intentionally built a technology ecosystem that helps us serve guests better, operate more efficiently, and encourage direct bookings while keeping distribution costs under control.

Here’s how everything fits together.

The Foundation: Our Property Management System (PMS)

Every technology ecosystem needs a centre, and for us that centre is our Property Management System (PMS).

The PMS serves as the single source of truth for rates, availability, reservations, guest stays and room inventory. It is the system our front office team uses daily to manage bookings and room operations.

Whenever a reservation is made, modified, checked in or checked out, that information ultimately lives within the PMS.

Almost every system in our technology stack either receives information from the PMS, sends information to it, or does both.

Simply put, everything starts and ends with the PMS.

Revenue Optimisation with RoomPriceGenie

Connected directly to the PMS is our Revenue Management System (RMS), RoomPriceGenie.

Many revenue management systems rely heavily on historical booking patterns. While historical data is important, RoomPriceGenie takes a more forward-looking approach. It combines current demand signals with future booking trends and even incorporates short-term rental market data, helping create a broader view of the market.

Throughout the day, RoomPriceGenie continuously analyses market conditions and booking activity. It then automatically updates room rates within the PMS multiple times daily.

The relationship works both ways.

The PMS provides booking information back to the RMS, allowing RoomPriceGenie to continuously refine its pricing calculations as market conditions change.

The result is a dynamic pricing strategy designed to maximise occupancy and revenue while remaining competitive.

Listening to Guests with GuestRevu

A great guest experience doesn’t end at check-out.

Our Reputation Management (RM) platform, GuestRevu, is connected to the PMS and is automatically notified when guests complete their stay.

When a guest checks out, GuestRevu sends a feedback survey, giving guests an opportunity to share their experience directly with us.

Beyond collecting feedback, GuestRevu helps us identify long-term trends, highlight areas where we are performing well, pinpoint opportunities for improvement, and benchmark our performance against a selected group of competitors.

This allows us to make decisions based on real guest feedback rather than assumptions.

Distributing Rates and Availability with SiteMinder

While the PMS stores rates and availability, it needs a way to distribute that information to the wider travel marketplace.

That role belongs to our Channel Manager, SiteMinder.

SiteMinder maintains a two-way connection with the PMS, continuously synchronising rates, availability and inventory.

Whenever availability changes in the PMS, SiteMinder immediately updates connected sales channels. Likewise, bookings received through connected channels flow back through the ecosystem and ultimately into the PMS.

This automation significantly reduces the risk of overbookings while ensuring that guests see accurate availability wherever they choose to book.

Reaching Guests Across the Distribution Ecosystem

Through SiteMinder, Arebbusch distributes rates and availability across several important sales channels.

These include:

  • Online Travel Agents (OTAs) such as Booking.com and Expedia
  • Global Distribution Systems (GDS), used by travel agents and corporate travel buyers worldwide
  • Our direct Internet Booking Engine (BE), supplied by D-EDGE

This approach provides broad market visibility while maintaining centralised control over inventory and pricing.

The Booking Engine: The Direct Booking Hub

Our booking engine is where direct bookings happen.

Connected to both the PMS and channel management ecosystem, the booking engine provides guests with real-time rates and availability directly from the source.

The booking engine integrates closely with our website, allowing visitors to search availability, compare room options, and complete bookings without leaving the Arebbusch ecosystem.

Every direct booking reduces dependency on third-party channels and helps keep acquisition costs lower.

Enhancing Visibility Through Metasearch

Many guests begin their accommodation search on metasearch platforms.

Services such as Google Hotel Ads, Trivago, Kayak and Tripadvisor allow travellers to compare rates from multiple sources before making a booking decision.

Our booking engine connects to these metasearch channels, ensuring travellers can find and compare Arebbusch directly.

To manage this effectively, we use a D-EDGE solution called MediaGenius.

MediaGenius allows us to manage multiple metasearch advertising campaigns from a single platform. Instead of managing budgets separately across multiple channels, we can centrally allocate advertising spend, set channel-specific limits, establish overall campaign caps, and allow MediaGenius to handle campaign execution across the various metasearch platforms.

The result is greater control, improved efficiency, and better visibility of marketing performance.

Our Website and AI Chatbot

Our website serves as the central digital storefront for Arebbusch Travel Lodge.

Visitors can access accommodation information, view room options, explore facilities and make direct bookings through the integrated booking engine.

Supporting the website is our AI-powered chatbot.

The chatbot is connected to our booking ecosystem and can assist guests by answering common questions and, where appropriate, provide access to real-time pricing and availability information during conversations.

This helps prospective guests receive immediate assistance, even outside traditional business hours.

Driving Demand Through Social Media

Technology alone does not generate bookings.

Our social media channels, including platforms such as Facebook and Instagram, play an important role in creating awareness and driving traffic to our website.

These channels allow us to showcase accommodation, share updates, highlight promotions and engage with current and prospective guests.

The goal is simple: encourage travellers to visit our website, where they can learn more and book directly.

Building Relationships Through CRM

Not every technology connection within our stack operates in real time.

Our Customer Relationship Management (CRM) platform currently receives booking information from the PMS via a daily automated CSV file transfer.

Although this is a one-way integration, it still provides significant value.

The CRM consolidates guest profiles, booking history and market segments into a central database. This enables personalised communication and automated marketing campaigns throughout the guest journey.

One example is automated pre-arrival email campaigns, which help guests prepare for their stay while strengthening engagement before arrival.

Rewarding Loyalty

The CRM also feeds information into our loyalty platform.

Both the CRM and loyalty system are D-EDGE solutions, previously part of the LoungeUp ecosystem.

Our loyalty programme is directly connected to the booking engine, creating a seamless booking experience for registered members.

When loyalty members log in while making a reservation, their qualifying discount is automatically applied.

Unlike traditional points-based programmes that require members to accumulate rewards before receiving benefits, our loyalty programme is built around rolling annual spend.

The more guests stay with us, the higher their loyalty tier and the greater their available discount.

This means guests enjoy the benefits immediately rather than waiting to redeem points in the future.

Once the booking is completed, it follows the normal booking flow back through the booking engine, channel management ecosystem and ultimately into the PMS, ensuring all systems remain aligned.

A Technology Strategy Built Around Direct Bookings

Each component in our technology stack has a specific purpose, but all roads ultimately lead to the same goal: creating a better guest experience while encouraging direct bookings.

Our website, booking engine, AI chatbot, CRM, loyalty programme and metasearch strategy are all designed to make booking direct as easy and rewarding as possible.

Online travel agents remain an important part of our distribution strategy. They provide valuable visibility and introduce new travellers to our property. In many cases, they act as a digital shop window, helping guests discover Arebbusch for the first time.

However, once guests know us, we want to provide compelling reasons for them to book directly in future. Better relationships, personalised communication, loyalty rewards, direct engagement and reduced distribution costs all contribute to that objective.

Importantly, this doesn’t mean avoiding OTAs. Instead, it means using each distribution channel for what it does best. OTAs help us reach new audiences. Direct channels help us build stronger long-term relationships.

More Than a Collection of Systems

Our technology stack is far more than a collection of software platforms.

It is a connected ecosystem where every booking, price update, guest interaction and marketing activity contributes to a larger picture.

From the PMS at the centre of operations to revenue management, reputation management, distribution, marketing, loyalty and direct booking technology, each component plays an essential role.

Together, these systems help us deliver what matters most: a smoother guest experience, smarter business decisions, and stronger relationships with the travellers who choose Arebbusch Travel Lodge.

For me personally, this ecosystem is also a fascinating example of how hospitality technology continues to evolve. Modern hotels and lodges are no longer powered by individual software solutions operating in isolation. The real advantage comes from connecting systems so that information flows efficiently, decisions become smarter, and guests enjoy a more seamless experience from their first search to their next stay.
